Event Photo and Recording Policies
The Stanford Woods Institute for the Environment may record and/or photograph its events to ensure participants can rewatch and share useful information, to make expert perspectives, scholarship and ideas more widely accessible, and for internal reporting purposes. Videos and official photographs may be taken for posting on Stanford websites and social media channels, in media releases and event recaps, in our newsletters, in our Annual Report and other university publications.
For Event Attendees
By registering for and/or entering our event venues, participants consent to Stanford University using their image and likenesses. That use may extend to Photo(s), Video(s) and/or Recording(s) for potential use in any of Stanford’s editorial products or publications (e.g. news articles, magazines, web pages, and videos) (collectively, “Stanford Publication”), which may be distributed in any format and medium. Event Photo(s), Video(s) and/or Recording(s), as included in the Stanford Publication, may be distributed by any means and distribution channel, including but not limited to print circulation, Stanford’s website, and/or other third-party social media and distribution platforms, without payment or any other consideration. Attendees are not guaranteed the right to inspect or approve the finished Stanford Publication or each specific use, nor will they be compensated.
For Event Speakers
Stanford will hold the copyright to the Recordings or Photos captured at Woods events. In addition to creating an archive copy for educational purposes, possible uses of Recording and Photos include, but are not limited to, inclusion in Stanford websites, social media, the creation of CDs or DVDs, and delivery to the public via distribution partners. Photos, Recording and related materials may be captured and delivered in any media, format, and form of distribution, including, without limitation, broadcasting and live streaming. Speakers are not required to give their ideas or presentation copyright to Stanford, and retain their intellectual property rights to the underlying presentation, performance or content presented that is captured in a recording. And, unless Stanford has requested an exception, speakers are granted a non-exclusive license to use event recordings for personal noncommercial use. Please keep in mind that Stanford marks, including Stanford's name and logo, which are often captured in the Recordings, may not be used without the prior written consent of the university.
For Students
Per Stanford's Student Privacy Policy, registration as a student and attendance at, or participation in, classes and other campus and University activities constitutes an agreement by the student to the University's use and distribution (both now and in the future) of the student's image or voice in photographs, video or audio capture, or electronic reproductions of such classes and other campus and University activities.
